Nobody searches "QuickBooks alternatives" because the general ledger let them down. They search it because the Plus plan costs more every year, because Projects never showed the profit on a job the way the sales page promised, or because the crew's receipts pile up in a review queue that only one login can clear. Those are three different problems, and the "alternative" for each is different.

Split the problem before you switch
QuickBooks Online does two jobs for a contractor: it keeps the books (invoices, bills, bank feeds, taxes, the file your accountant works in), and, on the Plus plan and up, it reports profitability per project. The first job it does well. The second it does only when one disciplined person tags every transaction, which our QuickBooks job costing guide covers.
So the honest options are:
- Replace the books. Move the accounting to Xero or FreshBooks, usually to cut the bill or to get project tracking at a lower tier. Your accountant has an opinion about this; ask first.
- Keep the books, replace the job costing. Stay on QuickBooks, often on a cheaper tier, and run the job's money in a tool built for field receipts. This is the most common outcome.
- Replace both with a construction suite. Knowify, Contractor Foreman or JobTread cost jobs and sync to QuickBooks, so you still keep QuickBooks; you just stop using its Projects feature.
Option 3 turns out to be option 2 with a bigger tool. Only option 1 actually leaves QuickBooks.

Replacing the books
Xero
What you get. Full accounting with bank feeds, invoicing, bills, and document capture on every plan, with no per-user license fees. Project time and cost tracking is on the Established plan.
Why contractors switch. Unlimited users at a flat price, and an app marketplace that pairs well with field tools.
Watch out for. Projects only on the top tier, about $90 a month, and the cheapest plan caps invoices and bills. Your accountant may not work in Xero; that's the deciding question.
FreshBooks
What you get. Invoicing-first accounting with expense capture, time tracking and project profitability on the Premium plan.
Why contractors switch. A solo or two-person service trade that invoices a lot and wants the simplest possible books.
Watch out for. Client limits on the lower plans, $11 a month per extra user, and project profitability only at about $70 a month. It's built for a service business more than a construction one.
Keeping the books, replacing the job costing
Obra
What you get. A per-project ledger: income, expenses, receipts, change orders, budgets, a forecast of the final cost, and a close. Receipts arrive by WhatsApp, email or photo, are read into a draft, and a person confirms them. Submitters, such as a foreman or a sub, capture from their own phones without seeing the finances. English and Spanish throughout.
How it pairs with QuickBooks. Obra captures and costs; your bookkeeper gets dated, categorized CSV exports and records them in QuickBooks at the level the books need. Nothing is typed twice by the person on site. Many crews drop from Plus to Essentials and let Obra do the projects.
Watch out for. No invoicing, payroll or tax filing, by design. No live sync to QuickBooks yet; the handoff is exports.
Price. Free for one active project; Pro is $12 per user a month. A three-person crew pays $36.
Knowify
What you get. Bids, contracts, change orders, AIA pay applications, time tracking, and a real-time two-way QuickBooks Online sync. Job costing with automatic expense assignment and WIP reporting on the Advanced plan.
How it pairs with QuickBooks. Tightly. Knowify is designed to be the construction front end on a QuickBooks file, and it's the strongest option here for subs billing on AIA forms.
Watch out for. The Core plan bids and invoices but doesn't cost jobs; that needs Advanced at about $330 a month. Extra users are about $30 each.
Contractor Foreman
What you get. Estimates, scheduling, daily logs, change orders, purchase orders, AIA billing, time cards, job costing reports, a client portal, and QuickBooks Online sync.
How it pairs with QuickBooks. Invoices, expenses and payments sync across; QuickBooks stays the ledger.
Watch out for. Weeks of setup, annual plans, and field cost capture through paid seats. About $105 a month for three users.
JobTread
What you get. Estimating, budgeting, job costing, scheduling, time tracking, portals, and a QuickBooks Online integration with free implementation.
How it pairs with QuickBooks. The estimate becomes the budget in JobTread, costs land there, and the accounting side syncs to QuickBooks.
Watch out for. About $240 a month for three users, no free trial, and every internal user who enters a cost needs a seat.
The alternative that's still QuickBooks
If the complaint is the bill, check what the Plus plan is doing for you. Plus adds Projects, inventory and five users over Essentials. If you're paying about $55 a month more for Projects and Projects isn't telling you the truth, drop to Essentials at about $85 and put the difference toward a job costing tool that captures from the field. The books lose nothing; the jobs gain a capture loop.
Which one, by situation
- The books are fine; the jobs are the problem, and receipts come from a crew. Keep QuickBooks, add Obra, consider dropping a tier.
- You bill on AIA forms and want job data in QuickBooks the moment it's entered. Knowify Advanced.
- You need scheduling and a client portal as much as job costs. Contractor Foreman for price, JobTread for the budget-first workflow.
- You want to leave QuickBooks entirely, and your accountant agrees. Xero for a crew, FreshBooks for a solo service trade.
- You just want the bill lower. A cheaper QuickBooks tier plus the free job costing spreadsheet, until the third job.
Questions people ask
Is there a free alternative to QuickBooks for contractors? For the books, not one worth running a business on. For job costing, yes: Obra's free tier runs one active project, RenoJira is a free phone app, and a spreadsheet costs nothing. See the job costing apps roundup.
Can I do job costing in QuickBooks Simple Start or Essentials? Not with Projects; that starts on Plus. You can tag customers and run a profit and loss by customer, which is a coarse version, or pair a cheaper tier with a job costing tool.
Will switching accounting software upset my accountant? Usually yes, and usually with reason: they've built a workflow on your file. Replacing the job costing next to QuickBooks upsets nobody, which is why it's the common answer.
What does "sync" actually mean for these tools? It ranges from a two-way live mirror (Knowify) to one-way pushes of invoices and expenses (most suites) to dated exports (Obra). Ask your bookkeeper which one fits how they close the month before you pick.
